The most common PDF formatting issues and how to fix them

PDFs look different on other computers? Learn the root causes of common PDF formatting errors and how to fix them.

The PDF is supposed to look the same everywhere. Same layout, same fonts, same colors, whether you open it on a Mac, a Windows PC, or a phone. The whole point of the format.

In practice, things go wrong. You send a polished proposal and the client opens it to find swapped fonts, sideways images, and blank gaps where pages should be. These problems are common, but they are all fixable. This is what causes them and how to solve them without leaving your browser.

Missing, Swapped, or Garbled Fonts

You design a report in a custom corporate font. It looks great on your screen. The client opens it and every heading has reverted to Arial or Times New Roman. Letter spacing is off, text overflows, and the layout falls apart.

This happens when fonts are not embedded in the PDF. A PDF is a set of drawing instructions. If the font data is not packed inside the file, the reader looks for that font on the recipient’s machine, does not find it, and substitutes a default. Formatting dies instantly.

The fix is to check “Embed Fonts” when exporting from Word, InDesign, or Canva. That packages the font into the file so it renders everywhere.

Not sure whether a font is embedded? Open the PDF in a reader and check the document properties, or simply export with embedding enabled from the source file. If you only have the PDF and no source, a local editor can re-embed the fonts when it saves a copy.

One more trap. Cloud-based merge tools sometimes strip font subsets to save processing time, which breaks text in the combined document. Color Shifts

Your vibrant flyer looks muddy purple on someone else’s screen. Classic RGB versus CMYK problem. Screens display color with light (RGB) and can show neon hues. Printers use ink (CMYK), which has a narrower gamut.

If colors look wrong, the color profile was not embedded or a viewer is mangling the conversion. Set the document intent before exporting. sRGB for screen, and for commercial printing ask your printer for their specific CMYK profile.

The Diagnostic Sequence for a Broken PDF

When a PDF arrives damaged, a quick diagnostic sequence identifies the likely cause before any fix is attempted. Fonts swapped out point to missing font embedding in the source. Sideways pages point to scan orientation at capture time. An oversized file points to embedded images or unflattened vectors. Colors that shift point to a profile mismatch. Wrong page order points to assembly errors.

Each symptom narrows the search. The diagnosis matters because the fix differs. Re-export with embedding for fonts, rotate rather than rescan for orientation, compress or split for size, re-profile for color, reorder for sequence. Applying the wrong fix, rescanning a file that only needs rotation, wastes time and does not solve the problem.

The sequence is the same pattern professionals use. Observe the symptom, identify the cause class, apply the matching fix, verify the result. The verification step is what turns the sequence into a process, because a fix that is not confirmed has only been assumed.

The Prevention Habits That Stop the Problems

Most formatting problems are cheaper to prevent than to fix, and the prevention is a set of habits at the point of creation. Embed fonts at export. Scan at the resolution the document will actually be used at, not the maximum the scanner supports. Convert colors deliberately. sRGB for screens, the printer’s profile for print. Check page order before finalizing a scan or an assembly.

The habits are simple because they happen once, at creation, rather than repeatedly at the point of distribution. A document with embedded fonts, correct colors, and sensible resolution does not produce a chain of “it looks wrong on their screen” reports. The prevention shifts the work to where it is cheap and removes it from where it is expensive.

The organizational version of the habit is a short checklist at export time. Document the source settings, confirm the export options, spot-check the output on a second device. The checklist takes seconds and catches the majority of issues that otherwise surface as customer complaints or rework.

PDFs are not magic, but they are predictable. Understand the cause, apply the right tool, and your documents will arrive the way you designed them.
